Refund a payment
- In the staff app, open Tables, the table, then the payment, and tap Refund. In the dashboard, open Payments, then the payment.
- Refund everything left, or enter an amount, and add a reason for your records if you like.
- Void or adjust the items on the POS too, so the till matches.
Servers refund up to their limit ($50 unless you change it) within 24 hours of the payment; above that, the refund waits for a manager's approval. Money goes back to the guest's card in 2–4 business days, and a refund can't be undone.
Mark items paid in cash
- In the staff app, open the table and tap Mark items paid in cash.
- Pick the items the guest paid for in cash.
- They go onto the POS as a cash payment, and the guests' phones show them as paid.
A payment didn't reach the POS
- Don't charge the guest again: their payment is complete.
- Open the alert in the staff app, or the payment in the dashboard, and note the bill amount and the tip separately.
- On the POS, pay that check with the Paytabl payment type: the bill amount as the payment and the tip as the tip.
- On the next read of the check, it is linked to the phone payment and counted once. If more than one payment fits, a manager links it under End of service, Check against the POS, Link the tender added by hand.
If it happens on more than one check in a shift, email support@paytabl.com: it's probably the connection, not the payment.
Pause paying by phone
- In the staff app, go to More, then Paying by phone. Owners and managers see it.
- Tap Pause phone payments and confirm.
- Guests who scan are asked to pay their server. Payments already under way still go through. Resume from the same place.
Report a walkout
- In the staff app, open the table and tap Report walkout.
- A manager confirms or dismisses it in Approvals.
- A confirmed walkout appears in the dashboard under Accounting, Recoveries.
Send a payment link
- In the dashboard, open Payment links and choose Create a link.
- Enter the amount, what it's for and when it expires. Add the guest's email to have the link sent to them, or copy the link and send it yourself.
- The guest pays in their browser. Each link takes one payment, then shows as paid.
A link isn't tied to a check: add the payment to the POS by hand when it arrives.
